To view an exhibition

  1. Click one of the titles or thumbnail images on the Welcome page.
    Or, click the "Look at some exhibitions" button to search through all the exhibitions that have been created so far:
    Search exhibitions screen (not logged in)
  2. The lower part of the Search exhibitions page shows the most recent exhibitions.
    The top part lets you search by:
     
    • exhibition title or introduction
    • the person who created the exhibition
    • when the exhibition was last modified
       
  3. Fill in one or more of these fields and click "Search".
    (If you are logged in, there will also be a checkbox: "Search from my exhibitions?")
  4. A list of all exhibitions that satisfy these criteria should appear.
    Click one of the titles (or thumbnail images) to view.

The View exhibition page also has a "HELP" button, for further instructions.

To create an exhibition

  1. Click "Create my own exhibition".
  2. Sign up as a new curator, or log in if you have already signed up.
  3. Using the built-in search box, search the Art Gallery's collection for images.
  4. Drag the images you want onto the wall.
  5. Create text panels for your own commentary or questions.
  6. Add extra walls as you go.
  7. Click "SAVE" regularly.

The Edit exhibition page has a "HELP" button, for further instructions.

To return to an "under construction" exhibition
The first time you save an exhibition, you will be sent an email with a web link.
Click on this link, log in and you will see your exhibition just as it was when you last clicked "SAVE" (except for your most recent search results).

Lost your email?
No problem, Just follow these steps:

  1. Go to the Welcome page, click "Log in" (in the right-hand column) and log in.
  2. Click "Search exhibitions". This will take you to the Search exhibitions page.
  3. Check the box "[ ] Search for my exhibitions".
  4. Click "Search".
  5. When you see your exhibition(s) listed, click "Edit" (below the thumbnail image) for the one you wish to work on.
     

To show your exhibition to the world

  1. Complete your exhibition.
  2. Click "SUBMIT".
  3. After assessment by the Gallery you will be sent an email.
     
    • If you were successful, your exhibition will appear in the list of the most recent on the Search exhibitions page - until they are replaced by others. (It could even appear amongst the featured exhibitions on the main page!)
    • Otherwise, your exhibition will become 'under construction' again. You will be able to work on it and view it, as long as you log in.
    • The Gallery will endeavour to assess your exhibition within a week of it being submitted. During this time, you can still view your exhibition, just not work on it.
       

TROUBLESHOOTING and other questions

Can I change my password?
Yes. Click "Change account details..." on the Welcome page, once you are logged in.

I've lost my password.
Click "Log in" on the Welcome page, then click "Get new password". A new one will be automatically emailed to you. You can then change it to anything you want (see previous point).

Why can't I find an art work I'm looking for?

  1. Not all works in the Art Gallery's Collection are currently illustrated on the website. As more works are digitised and cleared for copyright, they will become available.
  2. For speed, the search box in myVirtualGallery searches only on the Artist and Title fields. This means that searching for "seascape", for example, will not find seascapes (unless they have that word in their title).
     

Suggestion:
 

  1. Save your exhibition.
  2. Go to the Collection > Advanced Search page
    (click the link in the main 'Art Gallery of New South Wales' window - should be behind myVirtualGallery).
  3. Perform your search(es).
  4. Make a note of the title(s) and/or artist(s).
  5. Return to your saved exhibition.
  6. Enter the title(s) and/or artist(s) into the Search box and click "GO".
 

I created a new exhibition and clicked "SAVE" but didn't receive an email. What should I do?
Some possible explanations (in decreasing order of probability):

  1. You made an error entering your email address. (E.g. All Hotmail addresses end in "@hotmail.com", not "@hotmail.com.au".)
  2. Your in-box was full. (Especially common with free email accounts, such as Hotmail and Yahoo.)
  3. Your free email account was suspended because it had been inactive for too long.
     

What to do:
 

  • If you still have the exhibition window open, bookmark it ("Add Page to Favorites..." in Internet Explorer) and use this bookmark to return later.
  • If you have closed the exhibition window, follow the steps under "Lost your email?" (above), then bookmark your exhibition.
    Next, click on "Change personal details..." on the Welcome page and check that your email address is correct. Correct it if required.
  • If your email address was correct, your in-box was not full and your email account was active, contact the Website Manager (use the link on the Welcome page).
     

How do I print an exhibition?

  1. Right-click (or control-click on a Mac) anywhere on the wall and choose "Print".
  2. Change the page orientation to landscape:
      - On a Windows PC: Click "Preferences". Under Orientation, choose "Landscape" and click OK.
      - On a Mac (OSX): Click one of the Landscape icons and click OK.
  3. Click "Print".
  4. Repeat for each wall.

Note, however, that text may print differently to how it is displayed on-screen, which may cause some larger text panels to appear incomplete. The only way to print a wall exactly as it appears on-screen is to create a "screenshot"* and print that.

How long do I have to complete my exhibition?
You can take as long as you like. However, if an "under construction" exhibition has not been worked on for a long time (say, over three months), the Website Manager may email you. If no reply is received within a week, the exhibition may be deleted.
So, if you want to keep your "under construction" exhibition active, just revisit it every month or two.

I can't edit my exhibition after I click "SUBMIT".
As long as your exhibition is "under construction", you can continue to work on it.
However, once it has been submitted for approval, it is locked from any further editing, until it is assessed.

Can an exhibition be reworked after it has been approved?
Yes, but you will need to contact the Website Manager. Either reply to the email you received when the the exhibition was first approved, or use the Website Feedback page.

What happens if my exhibition is not approved?
If, according to the Art Gallery of NSW, your exhibition is not ready to be made public, you will be informed by email (with details) and it will be made "under construction" again.
You can then revisit it, make your changes and click "SUBMIT" again.

Reasons why an exhibition may not be approved include:

  • Spelling, typographical or grammatical errors (although if minor, these may be corrected as part of the review process)
  • Factual errors
  • Offensive language
  • Remarks that could be regarded as libellous
     

How do I copy, cut and paste text?
If, when you try to copy, cut or paste text, you just hear a beep, or the menu items are greyed out, you can still use the contextual (pop-up) menu. On Windows/Linux: Right-click, on Macintosh: Control-click, then choose the appropriate command from the pop-up menu.

My search words get combined with my previous ones.
(E.g. I search for "Streeton", then type in "Roberts" and press enter; I see "Searching for StreetonRoberts...", which of course fails.) This problem only seems to occur with Macintosh laptops, such as PowerBooks and iBooks. Solution: Use the return-key (above the right shift-key), not the enter-key. Or click the "GO" button.

I click 'SAVE' but I get an error message
The message says: "Exhibition was NOT saved. Your connection may have been lost; if so, try again after reconnecting."
The most likely cause is that your session has timed out because you had your exhibition open for more than an hour without saving.
Remedy:
1. Leaving the EDIT Exhibition window open, switch to the "Welcome to myVirtualGallery" window.
2. Click "Log out".
3. Click "Log in" when the page redraws.
4. Switch back to the EDIT Exhibition window and click "SAVE". (Click "SAVE" at least once every 55 minutes.)

I log in, but when I return to the Welcome page to log out, the button still says "Log in"
This is caused by a bug in Safari 1.0. It is a display problem only. Clicking the button will log you out as expected. Safari 1.2.2 and later do not have this bug.
